Job Description

Position Summary:
We’re looking for a “Jill of all trades” to help keep us organized and growing!

The Virtual Assistant at Merit Media is responsible for managing various administrative, client-related, and digital content tasks. The ideal candidate will efficiently handle project management tools, provide administrative support, manage financial and calendar scheduling, and engage in client relations to support ongoing projects and client satisfaction.

Key Responsibilities:

1. Project and Task Management (ClickUp):

  • Input, assign, and prioritize tasks.

  • Conduct internal follow-ups.

  • Ensure timely delivery of work to clients.

2. Inbox Management:

  • Prioritize emails and manage responses.

  • Delegate tasks to team members.

  • Maintain client communication.

3. Administrative Support (Dubsado):

  • Manage client additions and workflow.

  • Oversee team task management and client deliverables.

  • Securely store contracts on shared drives.

4. Financial Management (Wave/Finance):

  • Generate and manage invoices.

  • Track and flag overdue payments.

  • Coordinate client and contractor payments.

5. Calendar Management:

  • Schedule and remind stakeholders of client calls.

  • Manage time blocks according to call themes.

  • Handle rescheduling and prevent double bookings.

6. Personal Appointments (For Founder):

  • Organize personal appointments, including medical, automotive, and other services.

7. Document and Asset Management (Google Drive):

  • Maintain orderly folders.

  • Ensure accurate storage of documents and multimedia assets.

8. Client Relations:

  • Act as the primary contact for client inquiries.

  • Organize and prepare for client meetings and presentations.

  • Manage post-meeting follow-ups and communications.

9. Social Media Support:

  • Assist with graphic design tasks.

  • Manage publication schedules for digital content.

10. Research:

  • Perform market and industry research.

  • Compile performance reports.

  • Investigate potential tools and services for campaigns.

Qualifications:

  • Excellent organizational and communication skills.

  • Proficient in using project management software and tools.

  • Strong ability to multitask and prioritize work effectively.

  • Experience in handling sensitive information discreetly.

  • Strong written and oral communication
